The Information We Collect
DashCRM is a platform used by property developers, real estate agencies, and their teams to manage development projects, purchaser enquiries, and portal listings. Because of this, we collect and process personal information in a number of ways.
Information you give us
When you register, use the Services, or contact support, we may collect information such as your name, email address, phone number, company name, and billing details. We may also collect other details where those details are linked to an identifiable person.
Information collected indirectly (IPP3A)
In the course of providing the Services, we may receive personal information about individuals from sources other than those individuals themselves. This is known as indirect collection. Common examples include:
- Purchaser and enquirer data entered into DashCRM by a property developer or their sales team.
- Contact details shared by a real estate agency when managing leads or listings on behalf of a developer.
- Enquiry data received from property portals (such as TradeMe Property, realestate.co.nz, or Townhouses.nz) where a buyer has submitted an enquiry.
- Agent and team member details added to a project by a developer account administrator.
Where we collect personal information indirectly, we will take reasonable steps to ensure the individual is made aware of: the identity of DashCRM Limited as the collecting agency; the purpose of collection; the types of third parties to whom information may be disclosed; and their right to access and correct their information. This notification will generally be provided through this Privacy Policy, and where practicable, through a notice at the point of data entry by the collecting party.
If you provide us with personal information about someone else, you must ensure you are authorised to do so under applicable privacy laws, and that the individual has been made aware of the matters required under IPP3A.
Information from connected services
You may choose to connect third-party services or property portals to DashCRM. If you authorise that connection, we may collect and store information those services make available and use or disclose it as described in this Policy. You should review the privacy settings of each connected service before authorising the connection.
Information we observe
When you use the Services, we may automatically record technical and usage information using cookies and similar technologies. This may include IP address, device identifiers, browser type, pages visited, and access times. We may also collect information about your interaction with emails, such as whether you open or click a message.
Purpose of Collection
- Operations: to operate, maintain, and provide all features of the Services, and to respond to support requests.
- Improvements: to understand usage patterns, improve the Services, and develop new features.
- Communication: to contact you for service-related matters and, where you have opted in, marketing communications.
- Portal and listing management: to synchronise project data across connected property portals and maintain accurate listing information.
- Analytics: to measure and analyse platform usage; where possible, this is done using de-identified information.
Disclosure of Information
Except as described in this Policy, we do not intentionally disclose personal information without consent. We may disclose information in the following circumstances:
- Developer and agency users: if you are a purchaser or enquirer, your information may be visible to the developer or agency managing the project you have enquired about.
- Service providers: trusted third parties may process information for hosting, payment processing, email delivery, and related services, subject to confidentiality obligations.
- Connected portals: where you have authorised a portal integration, relevant listing and enquiry data may be shared with or received from that portal.
- De-identified information: aggregated or de-identified information may be used for business analysis or product improvement.
- Regulatory disclosure: information may be disclosed where required by law or by a regulator.
- Protection: we may disclose information where reasonably necessary to protect the security or integrity of the Services or the safety of individuals.
- Change of ownership: information may be transferred as part of a merger, acquisition, or asset sale.
Storage and Deletion of Personal Information
Storage
We follow industry-standard practices to protect personal information during transmission and after we receive it. We use administrative, technical, and physical safeguards to protect against accidental or unlawful destruction, loss, alteration, and misuse. However, no internet transmission is fully secure and absolute security cannot be guaranteed.
Deletion
When you cease using the Services and we are no longer required to retain personal information to meet legal obligations, we will securely delete your personal information.

Under the Privacy Act 2020 (NZ), you have the right to:
- access any personal information we hold about you; and
- request correction of personal information we hold about you.
We will respond to requests in accordance with the Privacy Act 2020. If you believe we have breached your privacy rights, you may also raise a complaint with the Office of the Privacy Commissioner at privacy.org.nz.
